Steel enquiries are specification-led. A buyer needs to know the grade, form, dimensions, quantity and documents available before deciding whether a supplier fits a mill, service center, fabricator or industrial user. A clear offer prevents a general product introduction from turning into repeated clarification.

Describe grade, form and available stock

Identify the alloy or non-alloy product, standard or specification used, form and size range. State whether the material is in bar, plate, coil, sheet, section or another form, and distinguish current stock from material that must be produced or sourced. Provide realistic available tonnage and explain whether mixed sizes or grades can be combined.

Share mill or material test documents only when they match the actual lot. Explain how heat, batch or bundle references are maintained and how a buyer can verify the material received against the quotation. Do not claim a grade equivalence without technical confirmation.

Quote the full delivery basis

Ask the buyer for the exact grade, dimensions, tolerances, quantity, destination, packing and target delivery date. A quotation should show unit and total pricing, currency, validity, applicable quantity breaks, packing, loading or bundle assumptions, inspection scope, lead time and delivery term.

If a buyer requests a trial quantity, confirm whether it can be supplied from stock or requires a separate production run. State any cutting, preparation or handling charges that change the economics of a small order.

Qualify the buyer and order process

Determine whether the prospect is an importer, stockholder, service center, fabricator, OEM or broker. Ask how the material will be used, who approves the specification and how inspection or acceptance will be handled. Confirm company and contact details before reserving material or arranging a costly sample.

Put payment, inspection, claims, delivery timing and any credit request in writing. Use the buyer’s purchase order and agreed specification as the reference for the shipment.

Build a focused prospect list

Target steel importers, service centers, component manufacturers and fabricators whose product mix uses the grade and form you offer. Make your specification sheet concise and send it to the role that handles the relevant material category.
