A supplier directory can help you build a shortlist. Choosing the right company for a real order takes a few more steps. A low quote or polished product page does not tell you whether the supplier can meet your specification, quantity, schedule, and destination-market requirements.
Use the same questions with every candidate. That makes replies easier to compare and helps you spot missing details before you pay for samples or production.
1. Write down the product you actually need
Before contacting suppliers, prepare a short brief. Include the material, dimensions, tolerances, function, finish, packaging, expected order quantity, destination country, and any options or custom work. Add drawings or reference images where they help, and identify which details are essential versus flexible.
Vague requests produce vague quotes. If one supplier quotes a standard item while another prices a customized version, their prices are not comparable. Ask each supplier to confirm in writing which parts of your brief its quote covers and where it has made assumptions.
2. Clarify who will make and fulfill the order
Ask whether you are speaking with the manufacturer, a trading company, an exporter, or another type of supplier. A trading company is not automatically unsuitable; the important point is knowing who is responsible for production, quality checks, communication, and shipment.
Confirm the registered company name and business address, the production location, and the name that will appear on the quotation and contract. If the seller, factory, and payment recipient are different entities, ask how they are related and have that arrangement documented before proceeding.
3. Request a complete, comparable quote
Ask each candidate to quote against the same specification and quantity. Request the unit price, minimum order quantity, price breaks, currency, quote validity, sample cost, tooling or setup charges, packaging, production lead time, and shipping terms. Ask what is excluded as well as what is included.
For a custom product, ask how revisions, artwork, molds, or other setup work are priced. For a standard product, confirm the exact model and configuration. A one-line price is not enough to compare offers fairly.
4. Check whether the order size and schedule are realistic
Ask for the minimum quantity for a first order and whether it changes for custom colors, labels, packaging, or specifications. If you are testing demand, ask whether a smaller pilot quantity is possible and what changes in the price or production method.
Request a production timeline with milestones: sample approval, material preparation, production, quality checks, and readiness for shipment. Ask how the supplier handles delays or changes to the schedule. Capacity claims are most useful when they are connected to your product and requested delivery window.
5. Agree on how samples and quality will be checked
When a sample is appropriate, confirm what it will represent: materials, dimensions, finish, performance, packaging, and any custom details. Ask how long it will take, what it costs, and whether the sample fee is credited toward a later order.
Before approving a sample, write down the acceptance points that matter. For production, ask what checks take place, when they happen, and what records or photos can be shared. If you plan to use an independent inspection, agree on its timing, scope, and pass criteria before production is complete. A sample shows what was made for the sample; it does not by itself establish that every production unit will match.
6. Confirm the documents and requirements for your market
Ask which product specifications, test reports, certificates, labels, and export documents the supplier can provide, and check that they match the exact product and destination market you have in mind. A document with a familiar logo or standard name is not enough by itself; confirm the issuing body, product scope, model, and validity where applicable.
Requirements vary by product and destination. Confirm regulatory, customs, and labeling obligations with the relevant authority or a qualified trade professional for your shipment rather than relying on a general supplier statement.
7. Keep commercial and payment details consistent
Check that the company names, addresses, product description, quantities, payment terms, and delivery terms are consistent across the quotation, contract, invoice, and other order documents. Ask about the payment schedule and what event triggers each payment.
If payment instructions change, verify the change using a separate contact method you already trust. Resolve unexplained differences between the contracting company and account holder before sending funds. Keep the agreed specification and approved revisions with the order records.
8. Compare how clearly each supplier responds
Send the same brief to several candidates and record their answers side by side. Compare the completeness of the response, how directly it addresses your specification, the clarity of its quote, its sample plan, its timeline, and the questions it asks you. A detailed reply is useful, but it is still something to verify against documents and the order process.
Pay attention to unresolved gaps: a quote that skips packaging, a lead time with no milestones, a certificate that does not cover the product, or different company names with no explanation. Ask a follow-up and give the supplier a chance to clarify. If important points remain unclear, keep looking.
A practical first-order sequence
Prepare the product brief, send it consistently, compare complete quotes, clarify the supplier's role, and review the documents. If a sample is suitable, evaluate it against written acceptance points. Before committing to production, make sure the specification, quality checks, schedule, commercial terms, and responsibilities are recorded in the order documents.
A directory listing is a starting point for discovering companies, not a substitute for your own product-specific checks. Use it to find candidates, then make your decision from the evidence each supplier provides and the fit with your order.
